Many managers recognize that "PDCA is important." However, in reality, many companies only complete the P (Plan) and D (Do) stages, and do not thoroughly carry out the C (Check) and A (Act) stages. This is where "meeting minutes" come into play. The items are just five: "Issues," "Countermeasures," "Responsible Person," "Deadline," and "Check." It clarifies "who will do what by when" regarding the countermeasures decided in the meeting, and ensures that this is confirmed in the next meeting. Completed items are deleted, methods that need to be changed are revised, and new issues are added. Through this repetition, the PDCA cycle begins to operate. Writing things down creates pressure, but it clarifies what needs to be done and the deadlines, thereby enhancing the organization's execution capability. In this way, meeting minutes are a highly effective tool for promoting PDCA, so please make good use of them. Related article: How successful companies conduct meetings.
