Additionally, managing schedules and methods of sending documents was complicated. Currently, there are 88 hospitals in collaboration and 139 doctors involved, along with 108 care managers. The submission schedules for documents differ for each user, and medical institutions specify whether documents should be sent by mail or fax. They were looking for a business improvement system that could clarify submission deadlines and methods, ensure that necessary materials were gathered, and easily accommodate fluctuations in the number of users.

■Development Approach It took about a month and a half to implement the system, during which we communicated almost exclusively via email and phone. The number of exchanges was around 60 to 70. With those meetings as a foundation, we confirmed details that couldn't be clarified otherwise, and for parts that could be streamlined, we met face-to-face to go over each item. Mr. Takemoto, the person in charge, carefully explained the boundaries of the service, including judgments on what could and couldn't be done and after-sales maintenance, during our initial meeting. By announcing these points at the beginning, there were no misunderstandings later on. Since the deadlines and areas of responsibility were clearly defined, it was easier for us to take action.
