All the petty cash data managed in Excel is managed in a database, and since it is a web system, it can also be accessed via the internet.
Our company has been operating a petty cash management system developed with dbSheetClient since 2009. Here, I would like to introduce this system. Petty cash is managed at both the headquarters and the Osaka sales office using this system. The members participating in this system include about 45 people, including employees, executives, and part-time workers. The accounting tasks are handled by one dedicated person at the headquarters. For petty cash, the headquarters has a dedicated accountant, while the Osaka sales office has a part-time woman who also handles other duties. Before this system was implemented, there was another part-time woman responsible at the headquarters. From the perspective of the dedicated accountant, the effort required for petty cash tasks accounted for 40% of the accounting work at that time, but after the system was implemented, even with one less staff member, it has reduced to 20% of the accounting work. Furthermore, the dedicated accountant is now able to leave almost on time, and after closing the profit and loss results, they produce a trial balance by the evening of the first day of the following month.

Petty cash handling was originally managed using Excel or handwritten cash receipt and payment slips. The accounting department would receive Excel sheets and cash slips to process cash advances and settlements, and then input the journal entries into the accounting system. Since launching the petty cash management system with dbSheetClient, we have been outputting journal entry data as CSV weekly, which the accounting system then imports. Therefore, the journal entry input for petty cash has been automated.
