Yūzen Co., Ltd. (Care Station Yūzen) Saga Prefecture, Small-scale Multifunctional Home Care The time spent on documentation has been reduced, allowing for more time to engage with users. Initially, we used paper for care records, but there were instances of missing documentation, and reviewing users' records took time. Organizing and binding files on paper was also time-consuming. When I wanted to simply digitize the records, I came across CareViewer. At first, I copied the screens of the menus we would use and shared the information on the items, and then we established internal rules while using it. When we used paper, I would jot down notes on the spot and then spend additional time compiling them later. However, after the implementation, I was able to record information immediately on the spot. CareViewer is visually clear, and there are no mistakes from accidental taps. Sharing information has also become easier. Previously, after night shifts, there would be gaps in communication during the next day's handover, but with the implementation, we can check information anywhere, which has improved the situation.

Ost Japan Group Co., Ltd. (Group Home Ikigai Sakae) Dementia Supportive Group Living Care, Sapporo City, Hokkaido Now, we have reached a mental state and work situation where we can comfortably be close to the residents. Before the introduction, everything was handwritten, and the time spent on record-keeping was enormous. For example, when there were three staff members on day duty, one would be responsible for record-keeping, which often meant that this person spent more time handwriting than interacting with the residents. Group homes require ongoing documentation rather than just checking off tasks, so there was a lack of initiative, and the consideration for digitization in group homes was delayed. We had been discussing the benefits of using computers for data entry over handwriting even before the introduction, so we started with the third floor, where we had previously raised the topic. By using tablets, each staff member can now input the assistance they provided, eliminating the need for a dedicated person to handle all the writing. Previously, there were situations where staff were hurriedly trying to complete their work, but now we have reached a state where we can comfortably be close to the residents, which is a significant first step in improving our work environment.

Haksen Co., Ltd. (Day Service Haksen) Okayama Prefecture, Day Care Services The perspective of recording has been unified, and the transcription work has been reduced. Before the implementation, we were recording everything by hand, and it took quite a bit of time to complete records for 20 individuals during their visit, often taking two people an hour and a half. Some staff members frequently made typos, which required later corrections. The content of the records varied and was not standardized, reflecting different aspects of the day's events and care provided. Since the volume of records accumulated significantly over a month, I thought it would be beneficial to reduce paper and ink costs and streamline operations, so I considered digitizing the care records. It took about a month to get used to the new system, but we were able to unify the perspective of recording. Additionally, staff can now input data using a smartphone app whenever they have free time, which has reduced the time spent sitting at a desk to enter information. As a result, we can now spend more time interacting with our clients, which has been the biggest advantage of this change.

S&N Fureai Care Service Co., Ltd. (Fureai no Sato Group Home Yamanote) Hokkaido, Sapporo City, Dementia Care Type Group Living Support With the time saved, we can now allocate more time for recreation and other activities. Previously, we were keeping records on paper, but we considered introducing digitalization to develop our services in anticipation of a paperless era. Of course, there were issues with inefficiency and time consumption when using handwritten records. We have a basement for storage, but some documents need to be kept for two years, which was becoming overwhelming. In the past, using paper required sitting down to record information, but now with smartphones, we can input data during our spare moments, allowing us to assist while recording. Handwriting requires concentration, but with smartphones, we can input information while conversing, which has allowed us to use the time saved for recreation and other activities.
